Feature Release: IT Glue Vault for Quick Notes

BY IT GLUE | January 10, 2022

At IT Glue, we are constantly looking to further fortify your sensitive information and knowledge to keep up the fight against modern threats. With that in mind, we are excited to add Quick Notes as an additional asset type on top of passwords to be part of IT Glue Vault.

Vault for Quick Notes

The Quick Notes functionality in IT Glue provides MSPs with the facility to document notes about contacts, relationship information, common issues, non-standard setups, general customer history, financial information and more. This gives the team more visibility whenever they view a customer in IT Glue. Bolstering sensitive Quick Notes information, such as financial information or door code, with an additional layer of security will bring MSPs much-needed peace of mind.

For those unfamiliar with Vault, Vault is a host-proof hosting feature that we launched last year that gives you total control over your encryption and decryption process since the individual Vault passphrase is never sent to the IT Glue system. With the addition of Quick Notes, IT Glue users now have the option to put sensitive passwords and/or notes inside Vault. which can only be decrypted with a user-specific passphrase.

Here is some more information to help you set up:

Setting up the Vault

You will generate a unique key when Vault is enabled by your IT Glue administrator (your employee assigned with the “administrator” role in IT Glue). This key is used to decrypt the encrypted passwords that are stored inside the Vault. This key can be generated only in the admin’s endpoint browser and can never be sent to IT Glue systems.

Adding additional users to Vault

The administrator with access to the unique key can provide Vault access to additional IT Glue users by giving them a copy of the Vault key. Additional users will receiver their own copy of the key, which will be protected by each individual user’s own unique passphrase.

Reason for individual passphrase

The user-based passphrase is an individual one and not something that should be shared with the entire organization or other employees. A shared passphrase used by the entire organization may pose a security risk every time somebody leaves. In the case of an individual passphrase, all you have to do is delete the user to end their access.

Protecting your sensitive information inside ITG Vault

All data transferred to and from the IT Glue application is encrypted with SSL encryption and all data stored on the disk (at rest) is also encrypted using AES 256-bit encryption. In addition, passwords are encrypted with AES-256-bit encryption and a unique AES key is generated for each encrypted password.

The additional security layer that IT Glue Vault offers is encryption control. It gives you total control over your encryption and decryption process since the individual Vault passphrase is never sent to the IT Glue system.

IT Glue security

IT Glue is an award-winning documentation platform that allows for efficient storage and retrieval of all the documentation you need to help your MSP run better. Security is at the forefront of all IT Glue innovations. The “Vault for Quick Notes” extension is no different. By setting up this feature, you can securely access all sensitive information in your organization.
